Every feature-rich app has its share of easily overlooked settings. But Gmail—man, oh man. Gmail has a virtual labyrinth of underappreciated options.

Consider this: Some of Gmail’s settings are available only on the Gmail website. Others are only in the mobile apps—or sometimes just in the mobile app on one specific platform. And other Gmail settings, paradoxically, can’t even be found within Gmail at all (yes, really!).

It practically requires a recurring spelunking expedition to make sure you’re taking advantage of everything Gmail has to offer, particularly since the list of possibilities evolves so often. But not to worry—I’m here to help.

I’ve dug up and broken down a dozen of Gmail’s citizens bank mobile banking app helpful yet least visible settings. Consider this your map to some of the service’s best buried treasures—no messy metaphorical cave-crawling required.

1. Give yourself more room to write

First things first: Gmail’s default compose window for new emails is a small box in the lower-right corner of the screen. That can be nice if you want to keep an eye on your inbox, I suppose. But it can also be quite distracting when you actually want to focus on what you’re writing.

If you find yourself preferring a more full-screen writing experience more often than not, start a new message in the Gmail website and then click the three-dot menu icon in the message’s lower-right corner. See the option there called “Default to full screen?” Click it. Then close out of that message entirely, start another new message, and. . .

Ta-da! Your Gmail compose window will now always open up front and center and as large as your current browser window allows. 2. Move from message to message without stopping

Are you the type of person who powers through your inbox message by message until you reach the end? If so, take a peek at Gmail’s tucked-away auto-advance setting. By default, Gmail shows you just 50 email conversations on each page and requires you to click to a subsequent page in order to see more messages. Maybe such a setup made sense in earlier days of the internet, when bandwidth was at a premium. But nowadays, all that extra clicking is little more than an inconvenience.

So save yourself some clicks and also some sanity by changing that setting from 50 to 100. Just be sure to click the Save Changes button at the bottom of the screen when you’re done to apply the change.

4. Put your emails back in proper order

If you’re using Gmail’s tabbed inbox interface—the one where your messages are sorted into categories such as Social, Promotions, and Updates—you might’ve noticed a strange habit Gmail has on the phone front. For some reason, in the mobile apps only, Gmail rearranges the messages in your Promotions tab to put the emails it sees as being “highest value” at the top.

Practically speaking, that means the messages in that category are often shown out of chronological order, with no obvious rhyme or reason behind the sequencing. And you frequently end up seeing days-old messages at the top, with more recent emails buried beneath them.

You can turn that behavior off and restore order to your inbox by toggling a deeply buried setting in the Gmail mobile apps. On Android, open the app’s settings, tap your account name, then tap “Inbox categories” and look for the “Enable Bundling of Top Email” option at the very bottom of the screen that comes up. On iOS, the same option is one step higher, on the settings screen that comes up immediately after you tap your account’s name.

Flip that switch into the off position. Trust me: You’ll be glad you did.

5. Set your own default snooze times

Snoozing is one of my favorite Gmail features, but it’s also one of the most confusing when it comes to settings. The reason: You can actually customize the default times for email snoozing in Gmail—the specific morning, afternoon, and evening times that pop up by default in the various one-click snoozing options—but the setting to make that adjustment isn’t actually located within Gmail.

Instead, it’s in Google Keep. Go figure, eh? Crazy as it sounds, try this: Pull up the Keep website, click the gear-shaped icon in the upper-right corner, and then select “Settings”—or open the equivalent section in the Keep mobile app—and look for the “Reminder Defaults” section in the panel that pops up.

Set the values for Morning, Afternoon, and Evening to whatever times make sense for you, then click “Save” on the website or just back out of the menu on mobile.

Once that’s done, go back to Gmail and snooze a message—and sure enough, you’ll see your new custom times come up within the default suggested options.

Why does this work that way, you might be wondering? Why aren’t the settings separated out and available within Gmail, too? There’s really only one answer: Sometimes, Google’s just gotta Google.

6. Enable a step-saving two-in-one button

I don’t know about you, but almost every time I finish responding to something in my inbox, I archive the message to get it out of my hair. Well, Gmail has a spectacular step-saver that lets you perform both those actions—sending and archiving—in one fell swoop on your computer. All you have to do is enable it.

Just look through the General section of the Gmail website’s settings until you see the “Send and Archive” option. Change its setting to “Show ‘Send & Archive’ button in reply”—something that isn’t enabled by default—and once you save out, you’ll see a spiffy new https m facebook com settings email button next to the regular Send button that’ll let you send and archive in a single step anytime you’re replying to a message.

And a bonus tip: Once that button is visible, you can also hit Ctrl (or Cmd) and Enter together to trigger the same action without any mousework required.

7. Let Gmail get personal

We all get a mix of personal messages and bulk mail these days, and while both can be perfectly legitimate and valuable, the messages actually written to you, specifically, are likely the ones that require the most immediate attention.

Gmail can help sort the personal stuff from the bulk: Just find the “Personal level indicators” option within the General tab of the desktop site’s settings. 10. Give yourself an undo equivalent on mobile

That handy Undo Send option isn’t available in the Gmail mobile apps, for some reason, but you can create a roughly similar safety net for yourself by enabling the service’s confirmation settings there—at least, if you’re using Android. (Sorry, iPhone pals!)

In the Gmail Android app, tap the three-line menu icon in the upper-left corner of the main inbox screen, then select “Settings” followed by “General settings” and scroll all the way down to the bottom of the screen that comes up. There, you’ll find three off-by-default options: “Confirm before deleting,” “Confirm before archiving,” and “Confirm before sending.”

Check the box next to the last one—and either of the other two, if you’re so inclined—and from then on out, you’ll always get a pop-up confirmation to give yourself a second chance before any such action is completed.

11. Customize Gmail’s time-saving swipe shortcuts

While we’re on the subject of Gmail’s mobile apps, think about what actions you take most often on your messages—whether it’s archiving, deleting, marking as read or unread, or snoozing—and then set your app’s swipe shortcuts to reflect those priorities.

For instance, maybe you’d like to swipe left on any message in your inbox to snooze the email and swipe right to archive it. Or maybe you’d prefer to swipe left to toggle a message between read and unread, and swipe right to delete it. Whatever the case, those gestures can represent the commands that’d be most convenient for you, if you take the time to set them up appropriately.

In the Gmail Android app, look for the “Swipe actions” option within the “General settings” section of the app’s settings. On iOS, you’ll find the same set of choices right within the app’s main settings menu. Either way, you’ll be one tap away from picking whatever action you want for both the left and the right swipe.

12. Make Gmail less nudgy

Last but not least, one Gmail feature you might be better off eliminating is the service’s habit of nudging you to reply or follow up on emails that’ve been lingering in your inbox for a while. Maybe that habit’s helpful for you—and if so, hey, more power to you—but if you’re organized enough on your own to know what you do and don’t need to respond to, it can be more irritating than advantageous.

Luckily for those who don’t want it, it’s easy as can be to turn off. You’ll find two associated options in the General tab of the Gmail website’s settings—one for nudges related to “emails you might have forgotten to respond to” and one for nudges about “emails you might need to follow up on.” Disable both, cackle quietly for good measure, and prepare for a delightfully nudge-free electronic messaging life.

User-specific Admin Console Settings

You can use user-specific mail settings in the Admin Console to perform actions such as adding email alias to users, routing incoming emails of a user to a different account, configure out-of-office replies, put in signatures, and more.

User Views

Once you have added the users, you can view their information in the Users section such as their email address, status, contact number, etc. Additionally, you can view the plan assigned to each user, additional storage credited to them if any, and the storage amount they have utilised all from the Users section.   1. Login to Zoho Mail Admin Console

  4. On the Mail Settings page, click Email Policy.
  5. In the Email Policy section, choose the policy you want to apply to the user.

Email Aliases

Email Alias can be understood as nicknames of a user's primary email account. With the help of an email alias, a user can have multiple email addresses within one mailbox. That is, all the emails sent to the alias account will be delivered in the same mailbox as the primary account. Email aliases are handy for small and medium-scale organizations or organizations with multiple domains where a single person might be performing multiple operations. 

Email Alias behaviors:

  • When you add an email alias, the user will be able to send/ receive using the email alias. 
  • The additional email aliases will be added to the From the drop-down, using which the user can select the From address for the particular email.

  5. Enter an Alias username and then choose the domain using which you want to create the alias.

Change the Default Mailbox Address

The default email address or mailbox address of an account is usually the email address given by the administrator during the creation of a user's mailbox. But you can change the default mailbox address to a different one.

It can be due to spelling errors or any mix-ups during the time of creation. For example, say David's (the marketing head of Zylker Inc) email address was created as [email protected] with a spelling mistake. You can rectify the problem by simply,

  1. Create an email alias with the desired email address.
  2. Change the default mailbox address to your desired email alias.

If you want to provide a different email address for the same user, this option is better than deleting the current address and providing a different one because all the current settings, contacts, emails, and so on of the user can be retained. 

Set Email Alias as the default address

  1. Login to Zoho Mail Admin Console
  2. Navigate to Users in the left pane, and click on the user you want to change the default mailbox address.
  3. On the user page, click Mail Settings from the top menu.
  4. In the Mail Settings page, either scroll down or click Email Alias to navigate to the respective section.
  5. You will all email aliases created for that user in the Alias Addresses table.

  5. Click the icon and enter the email address you would like to add and the Admin Password for authentication.

Email forwarding from Admin Console

Email forwarding, when configured, forwards all emails received by a user to the given forwarding email address. Email forwarding can be performed by users for themselves from their mailbox, or by administrators from the Admin Console. It is usually configured by the Administrator for delegation/ back-up purposes. 

For example, say David, the marketing head of Zylker Inc., is on leave for a month. His work was piling up and the Associate marketing head, Rebecca was pulled in to take over temporarily. For Rebecca to respond to messages from clients or customers, the administrator configured email forwarding from David's account. Now, Rebecca's mailbox will receive a copy of all emails sent to David. 

Steps to configure Email Forwarding:

  1. Login to Zoho Mail Admin Console
  2. Navigate to Users in the left pane, and click on the user you want to configure email forwarding.
  3. On the user page, click Mail Settings from the top menu.
  4. In the Mail Settings page, either scroll down or click Email Forwarding to navigate to the respective section.
  5. Enter the email address you want the user's emails to be forwarded to. Once done, click the  button.

    Note:
    A verification process is required for external email addresses. But, verification will not be required if the email forwarding address is from within your organization.

  6. If you have configured an external email address, you would have received an email with a Verification Code.
  7. In the Admin Console, click the 'Verify now' icon and enter the Verification Code.
  8. After entering the verification code, click Confirm.

Enable/Disable Email Services

Mailbox Actions enable Administrators to allow or restrict different services available in Zoho Mail. For example, say David, the marketing head of Zylker Inc., wants to sync his emails, calendar, and contacts from the email server to his mobile device. You, the administrator, can make an exception for David and give him ActiveSync access by simply going to Mailbox Actions. Now, except David, all other users will not have the ActiveSync access. 

To access Mailbox Actions,

  1. Login to Zoho Mail Admin Console
  2. Navigate to Users in the left pane, and click on the user you want to disable/enable an email service.
  3. On the user page, click Mail Settings from the top menu.
  4. In the Mail Settings page, either scroll down or click Mailbox Actions to navigate to the respective section.
  5. You can toggle the switch next to the feature to enable or disable the respective service.

Quarantine checkIf disabled, the 'to-be quarantined' emails of that particular user will not be quarantined and will be sent to the user directly. Disabling Quarantine check will not disable spam check. Quarantine check is enabled to all users by default.
POP accessIf disabled, that particular user can't access his/her email account in other email clients via POP. The administrator, in order to not leave his emails unattended, can configure an out-of-office response until he comes back.

To configure out-of-office reply from Admin Console,

  1. Login to Zoho Mail Admin Console
  2. Navigate to Users in the left pane, and click on the user you want to add an out-of-office response.
  3. On the user page, click Mail Settings from the top menu.
  4. In the Mail Settings page, either scroll down or click Out of Office to navigate to the respective section.
  5. If there is no Out of Office reply configured by the user, click the Add Out of Office button.

The administrators can view the account activity of any user which includes their login history, session history, and recent activity.

A record is created every time a user logs in to their account. Along with the login time, details such as their IP address, browser, duration, the application into which they had logged in can be seen. The login history shows the login details of the last 90 days by the user.

The active sessions at a given time is shown in Session history. Active sessions are unique logins to the account. For example, if a user signs into his/her account from the laptop alone, one active session in recorded. If they sign in using their mobile too, two active sessions are shown. If multiple users login to the same account, then the respective no. of active sessions are displayed.

Once they sign out of their accounts, there will be no active sessions.

1. Personalize as much as possible

Facebook limits how often a business can reach out to Facebook Messenger users. Businesses can only contact someone after receiving a message from them first.

Facebook is really keen on keeping you on their platform. One of the ways they do that is by sending you notifications whenever the tiniest thing happens. And you won’t just see them on the site—Facebook will also notify you by email, with mobile push notifications, and even with text messages.

Let’s look at how to tame all this, so Facebook isn’t nagging you every second of every day.

On the Web

Log in to Facebook click the dropdown arrow in the top right and select Settings.

Next, select Notifications from the sidebar. You can also just go directly there by clicking this link.

Under Notifications Settings, you’ll see four options—On Facebook, Email Address, Mobile, and Text Message—as well as a summary of the kind of notifications you receive through each.

To change which notifications you receive through each channel, click Edit. Each menu has a different range of options. Let’s start with On Facebook.

Here you control what notifications appear in the Notifications Menu when you log in to Facebook. You can also turn off sounds if you don’t want Facebook beeping at you whenever someone likes your photo.

Next up, we’ll look at the options under Email Address.

There are a huge range of options for what you can get notified for by email. Click Turn On next to any you want to receive. If you want to turn off an email notification, you need to click Unsubscribe at the bottom of the email itself.

If you don’t want to receive any notifications by email, select Only Notifications About Your Account, Security and Privacy under What You’ll Receive. This way you’ll only get notified by email when important things happen, like someone requests a password reset.

Under Mobile, you can control what push notifications you get through Facebook’s mobile app. Unfortunately, you can only Turn On notifications you’ve turned off in the past. We’ll look at controlling mobile notifications from the mobile apps in a minute.

Text Message has the fewest options. You can turn text notifications on or off, as well as decide whether you want to be notified about Comments or Posts, Friend Requests, or All Other SMS Notifications.

While it’s up to you how you want to be notified of things happening on Facebook, we’d recommend you take a conservative approach. I allow Facebook to notify me about anything and everything when I’m logged in, but don’t allow emails or texts, and only allow a few select mobile push notifications.

On the iPhone or iPad

Managing your Facebook notifications on an iOS device is actually a little tricky, as various features are spread in different locations. If you want to turn off all push notifications, the simplest thing to do is go to Settings > Notifications > Facebook and turn off Allow Notifications.

To manage your Notifications with a bit more nuance, open the Facebook app and head to Settings > Account Settings > Notifications.

There are two groups of options here: How You Get Notifications and What Notifications You Get.

How You Get Notifications controls how notifications are sent to you. The controls here are less granular than through the website, so if you want to customize what notifications you see on Facebook or what emails you get, it’s better to do it there.

To control what push notifications you get on your iPhone, tap Mobile. Here you can change whether Facebook push notifications play a sound and turn on any category of push notification you’ve turned off.

You can also turn off the kind of notifications you want to receive but it works a little differently than how you might be used to. Rather than working with toggles, Facebook shows you your recent notifications. If you don’t want to receive a certain kind of notification again, just tap it. You can also quickly adjust what notifications you see from the Notifications menu.

What Notifications You Get gives you control over some of Facebook’s optional notifications, like being notified when a friend posts something, when someone has an upcoming birthday, or when someone posts to a group you’re in. You aren’t able to turn off notifications for things like people posting on your Timeline or tagging you, however.

On Android

Open the Facebook app and head to Notification Settings.

Facebook’s Android app actually has the best notification management settings. Select the activity you do or don’t want to be notified about, such as Activity About You or Friend Requests, and then use the three toggles—Push, Email, and SMS—to decide what way you want to be notified. If you turn all three off, you’ll only be notified in the app.

You can also turn off push notifications entirely by selecting Push under Where You Receive Notifications and turning on Do Not Disturb.

Like with iOS devices, you can also turn specific notifications off from the Notifications Menu on Android.

Consider this: Some of Gmail’s settings are available only on the Gmail website. Others are only in the mobile apps—or sometimes just in the mobile app on one specific platform. And other Gmail settings, paradoxically, can’t even be found within Gmail at all (yes, really!).

It practically requires a recurring spelunking expedition to make sure you’re taking advantage of everything Gmail has to offer, particularly since the list of possibilities evolves so often. But not to worry—I’m here to help.

I’ve dug up and broken down a dozen of Gmail’s most helpful yet least visible settings. Consider this your map to some of the service’s best buried treasures—no messy metaphorical cave-crawling required.

1. Give yourself more room to write

First things first: Gmail’s default compose window for new emails is a small box in the lower-right corner of the screen. That can be nice if you want to keep an eye on your inbox, I suppose. But it can also be quite distracting when you actually want to focus on what you’re writing.

If you find yourself preferring a more full-screen writing experience more often than not, start a new message in the Gmail website and then click the three-dot menu icon in the message’s lower-right corner. See the option there called “Default to full screen?” Click it. Then close out of that message entirely, start another new message, and . . .

Ta-da! Your Gmail compose window will now always open up front and center and as large as your current browser window allows. And if you ever want to shrink it back down into that smaller setup, you can just click the icon with two arrows pointing inward in the window’s upper-right corner.

2. Move from message to message without stopping

Are you the type of person who powers through your inbox message by message until you reach the end? If so, take a peek at Gmail’s tucked-away auto-advance setting. Once you enable it, you’ll automatically be taken to the next email in your list (or the previous email, if you prefer) as soon as you archive or delete a conversation—instead of being taken back out to your inbox, as would typically occur.

In Gmail’s desktop version, you’ll first need to activate the option by going to the Advanced tab of the Gmail website’s main settings area (which you can get to by clicking the gear-shaped icon in the site’s upper-right corner and selecting “See all settings” in the panel that comes up). Find the “Auto-advance” line, click on “Enable” next to it, and click the Save Changes button at the bottom of the screen. Once the website reloads, you’ll need to go back into Gmail’s settings and look for the newly present “Auto-advance” area within the General tab to configure exactly how the option works.

On Android, there’s a separate, independent option within the “General settings” section of the Gmail app’s settings. No such option seems to be present on iOS, unfortunately.

3. Read more, click less

Speaking of reading, one of the simplest and most helpful Gmail settings you can change is the option for “Maximum page size,” located in the General tab of the Gmail website’s settings.

By default, Gmail shows you just 50 email conversations on each page and requires you to click to a subsequent page in order to see more messages. Maybe such a setup made sense in earlier days of the internet, when bandwidth was at a premium. But nowadays, all that extra clicking is little more than an inconvenience.

So save yourself some clicks and also some sanity by changing that setting from 50 to 100. Just be sure to click the Save Changes button at the bottom of the screen when you’re done to apply the change.

4. Put your emails back in proper order

If you’re using Gmail’s tabbed inbox interface—the one where your messages are sorted into categories such as Social, Promotions, and Updates—you might’ve noticed a strange habit Gmail has on the phone front. For some reason, in the mobile apps only, Gmail rearranges the messages in your Promotions tab to put the emails it sees as being “highest value” at the top.

Practically speaking, that means the messages in that category are often shown out of chronological order, with no obvious rhyme or reason behind the sequencing. And you frequently end up seeing days-old messages at the top, with more recent emails buried beneath them.

You can turn that behavior off and restore order to your inbox by toggling a deeply buried setting in the Gmail mobile apps. On Android, open the app’s settings, tap your account name, then tap “Inbox categories” and look for the “Enable Bundling of Top Email” option at the very bottom of the screen that comes up. On iOS, the same option is one step higher, on the settings screen that comes up immediately after you tap your account’s name.

Flip that switch into the off position. Trust me: You’ll be glad you did.

5. Set your own default snooze times

Snoozing is one of my favorite Gmail features, but it’s also one of the most confusing when it comes to settings. The reason: You can actually customize the default times for email snoozing in Gmail—the specific morning, afternoon, and evening times that pop up by default in the various one-click snoozing options—but the setting to make that adjustment isn’t actually located within Gmail.

Instead, it’s in Google Keep. Go figure, eh? Crazy as it sounds, try this: Pull up the Keep website, click the gear-shaped icon in the upper-right corner, and then select “Settings”—or open the equivalent section in the Keep mobile app—and look for the “Reminder Defaults” section in the panel that pops up.

Set the values for Morning, Afternoon, and Evening to whatever times make sense for you, then click “Save” on the website or just back out of the menu on mobile.

Once that’s done, go back to Gmail and snooze a message—and sure enough, you’ll see your new custom times come up within the default suggested options.

Why does this work that way, you might be wondering? Why aren’t the settings separated out and available within Gmail, too? There’s really only one answer: Sometimes, Google’s just gotta Google.

6. Enable a step-saving two-in-one button

I don’t know about you, but almost every time I finish responding to something in my inbox, I archive the message to get it out of my hair. Well, Gmail has a spectacular step-saver that lets you perform both those actions—sending and archiving—in one fell swoop on your computer. All you have to do is enable it.

Just look through the General section of the Gmail website’s settings until you see the “Send and Archive” option. Change its setting to “Show ‘Send & Archive’ button in reply”—something that isn’t enabled by default—and once you save out, you’ll see a spiffy new blue button next to the regular Send button that’ll let you send and archive in a single step anytime you’re replying to a message.

And a bonus tip: Once that button is visible, you can also hit Ctrl (or Cmd) and Enter together to trigger the same action without any mousework required.

7. Let Gmail get personal

We all get a mix of personal messages and bulk mail these days, and while both can be perfectly legitimate and valuable, the messages actually written to you, specifically, are likely the ones that require the most immediate attention.

Gmail can help sort the personal stuff from the bulk: Just find the “Personal level indicators” option within the General tab of the desktop site’s settings. Change its setting to “Show indicators,” and you’ll start seeing single arrows next to messages sent specifically to your address (as opposed to those sent to a list) and double arrows next to messages sent only to you, with no other recipients involved.

8. Sweep away some of your label clutter

It doesn’t take much for Gmail’s labels to get out of hand—and odds are, no matter how many labels you’ve created over the years, there’s only a handful that you interact with on a regular basis.

You can make your life meaningfully easier by hiding away the labels you don’t use often and leaving yourself only with the ones you genuinely need to see. Start your cleanup by clicking on the Labels tab in the Gmail website’s settings. There, you’ll see a list of all your available labels, along with the ability to set any label as hidden in both the label list—the sprawling list of labels that shows up at the top of the Gmail sidebar—and the message list, which is the list of label options that appears whenever you use the command for adding a label onto an individual message.

Hide away anything you don’t often access in either of those places, and you’ll stop wasting time looking through superfluous stuff.

9. Increase your second-guessing buffer

Gmail has a tremendously useful feature called Undo Send that lets you pull back a message after you’ve sent it, in case you suddenly realize you said something wrong or included a wildly inappropriate attachment by mistake. By default, though, Undo Send gives you a measly five seconds to make that call—which isn’t much at all, especially when potentially mortifying errors are involved.

Take two seconds now to find the “Undo Send” option in that same General section of Gmail’s desktop settings, and you can boost your buffer from five seconds to a full 30. There’s little real downside, outside of your messages sitting for an additional 25 seconds before they’re actually delivered. And there’s a world of face-saving gain.

10. Give yourself an undo equivalent on mobile

That handy Undo Send option isn’t available in the Gmail mobile apps, for some reason, but you can create a roughly similar safety net for yourself by enabling the service’s confirmation settings there—at least, if you’re using Android. (Sorry, iPhone pals!)

In the Gmail Android app, tap the three-line menu icon in the upper-left corner of the main inbox screen, then select “Settings” followed by “General settings” and scroll all the way down to the bottom of the screen that comes up. There, you’ll find three off-by-default options: “Confirm before deleting,” “Confirm before archiving,” and “Confirm before sending.”

Check the box next to the last one—and either of the other two, if you’re so inclined—and from then on out, you’ll always get a pop-up confirmation to give yourself a second chance before any such action is completed.

11. Customize Gmail’s time-saving swipe shortcuts

While we’re on the subject of Gmail’s mobile apps, think about what actions you take most often on your messages—whether it’s archiving, deleting, marking as read or unread, or snoozing—and then set your app’s swipe shortcuts to reflect those priorities.

For instance, maybe you’d like to swipe left on any message in your inbox to snooze the email and swipe right to archive it. Or maybe you’d prefer to swipe left to toggle a message between read and unread, and swipe right to delete it. Whatever the case, those gestures can represent the commands that’d be most convenient for you, if you take the time to set them up appropriately.

In the Gmail Android app, look for the “Swipe actions” option within the “General settings” section of the app’s settings. On iOS, you’ll find the same set of choices right within the app’s main settings menu. Either way, you’ll be one tap away from picking whatever action you want for both the left and the right swipe.

12. Make Gmail less nudgy

Last but not least, one Gmail feature you might be better off eliminating is the service’s habit of nudging you to reply or follow up on emails that’ve been lingering in your inbox for a while. Maybe that habit’s helpful for you—and if so, hey, more power to you—but if you’re organized enough on your own to know what you do and don’t need to respond to, it can be more irritating than advantageous.

Luckily for those who don’t want it, it’s easy as can be to turn off. You’ll find two associated options in the General tab of the Gmail website’s settings—one for nudges related to “emails you might have forgotten to respond to” and one for nudges about “emails you might need to follow up on.” Disable both, cackle quietly for good measure, and prepare for a delightfully nudge-free electronic messaging life.

It seems there isn’t a day that goes by without Facebook and privacy being in the news. Earlier this year, there was the small matter of Facebook reportedly storing hundreds of millions of user passwords in plain text, with the data accessible by employees for several years. 

So what’s a privacy-conscious social media user to do if they don’t want to delete Facebook entirely, but do want to secure their account from outside meddling? Our guide to Facebook’s privacy settings explains all you need to know to keep using the popular social network safely.

How to change your Facebook password

But first, it might be time to change your Facebook password. Fortunately, the process is really straightforward.

To change your Facebook password, go to Settings > Security and login > Change password. Easy.

Facebook Privacy Settings: Why they’re so important

The infamous Facebook/Cambridge Analytica affair highlighted just how important it is to keep track of the apps that are connected to your Facebook account through Facebook Login. This is because the data was gathered through an app called ‘thisisyourdigitallife’, which allowed people to log in to it using their Facebook account.

You can find a list of apps that have access to your Facebook data, such as your name, pictures, birthday and friends list, on the App Settings page. There’s a good chance the list will be significantly longer than expected.

Clicking each entry in the list shows you the types of data you’ve given them permission to access. By unchecking each box, you can limit how many of your personal details they can get their hands on. You can also unlink the apps from your Facebook account on this page, by clicking the ‘X’ that appears next to them.

However, as Facebook’s FAQ notes: “The app or game may have stored info from when you were using it, but you can contact the developer to ask that they delete any info they may still have.”

You can also switch off Facebook’s integration with apps completely, meaning you won’t be able to log into apps, games and other websites using your Facebook account. To do this, go to Settings, Apps and Websites and Plugins, then select Edit and Disable Platform.

Read on for 18 simple ways you can ensure your Facebook privacy settings are exactly what you want them to be.

1) I want to…get an overview of my privacy settings

Facebook’s privacy settings are spread over a number of portions of the site. However, you can do a quick health check by clicking the question mark icon that appears at the top of any Facebook page and selecting Privacy Checkup. This will allow you see privacy settings at a glance over three key areas of Facebook

1) Posts – As explained below, this will explain how to control your privacy settings for every post.
2) Profile – Here you can limit what personal information (work, age, contact details) is visible to whom.
3) Apps and websites – Who sees your activity within third-party apps.

These are explained in more detail in the following three sections.

2) I want to… control who sees my posts

This is perhaps the key privacy concern of privacy-conscious Facebook users. No-one wants their boss spying on their weekend activities, so it’s important to be clear about everything you post.

Whenever you upload a photo, fill in a status, or check in at a location, Facebook gives you the option to customise who you wish to share it with. The four main options are:

  • Public – Anyone can see it whether they’re Facebook friends or not. If you want to be part of a public discussion that can be viewed by both friends and via Facebook search (like on Twitter), select this.
  • Friends – Only people you’re friends with can see the post. If you’re posting photos of your children or any information you’d deem personal then this is what you need to select.
  • Specific Friends − Select this if you’d like the post to be seen by some of your Facebook friends, but not the vast majority. The Custom option is basically the inverse of this, and allows you to select people you don’t want to share your post with.
  • Only You – Perhaps if you use Facebook as a repository for personal memories or a blog you can select Only You to ensure you, the account holder are the only one who sees it.

It’s important to note that Facebook remembers the setting from your last post, so if your last post was a Public rant about X-Factor, that will be the default setting next time.

3) I want to… control who sees my app activity

You’re likely to have many third-party services associated with Facebook, whether they’re news services, fitness apps, games, dating apps, other social networks, streaming services or photo-sharing apps. Most of these would have become associated with your Facebook account if you used Facebook Connect to quickly create an account on them.

You can use the aforementioned Privacy Checkup or go to Settings > Apps and websites to completely disassociate them from your account.

4) I want to… hide my personal information

Over the years, Facebook has probably collected a tonne of your personal information. Your email address, your birthday, political views, phone number, where you’ve studied, your sexual orientation, your political views, where you’re from, where you’re worked, who you’re married to and who you’re related to.

With employers now doing social media checks on potential new colleagues, you may want to shield some of this sensitive information.

Thankfully, much of this can be controlled via the Privacy Checkup mentioned above. You can alter who sees what by heading to the About section of your profile and selecting Edit under each section. Switching your privacy settings from Friends to Only Me will hide the information from your profile. In some cases you may want to remove it completely.

5) I want to… hide posts from other people

If you’re still friends with an ex on Facebook and don’t want to remove them, but also want to post photos of you in a new relationship without potentially aggravating your ex, you can hit Custom from the “Who should see this?” menu and tag the people you wish to hide the post from.

6) I want to… post something, but hide it from my timeline

Maybe you have something to say and don’t want it as a permanent record on your timeline, such as a thought, a meme, or a joke in context that’s, ahem, of its time, you can achieve this by ticking the Hide From Timeline box in the post field.

7) I want to… stop people sharing my photos and posts

If you’ve shared a photo or a status on Facebook, it could be open to being re-shared by other Facebook users. That means Friends and, if you’ve tagged people,  even Friends of Friends. If the post is Public then anyone in the world can share it. There’s no way around that, other than to set the post to Only Me in the first place, which kind of defeats the point in most cases.

8) I want to… check what my Public profile looks like

There’s a really easy way to see what your profile looks like to someone outside your network of Facebook friends, who may have stumbled across your profile. To do this you can head to your Profile page, click the menu button next to Activity Log and select View As. If you spot information or posts you do not want to be public, Edit the privacy settings of individual posts or go to Settings to censor them.

You can also use this tool to see what a specific Facebook friend sees.

9) I want to… change who can see old posts

In the early days of Facebook many of us were quite naïve with what we shared. Thankfully, there are options in Settings to rectify some of your past privacy mistakes. You can click Privacy and Limit The Audience for Old Posts on Your Timeline. Then simply click Limit Past Posts to change any posts listed as Public or Friends of Friends. Confirm Limit Past Posts, to ensure that only Friends can see them. This can be undone at a later date but you may have to switch all of your posts back one by one so make sure you’re certain before you push that ‘limit’ button.

10) I want to… limit who can send me friend requests

Tired of strangers trying to add you on Facebook? Click Settings > Privacy and head to Who can send you friend requests. You can change it from Everybody to Friends of Friends but that’s about as far as you can go, so if you’re trying to avoid accepting that friend of a friend’s request, you might be out of luck.

11) I want to… block someone

This one’s easy (and fun). Go to Settings > Blocking, begin typing the name or email address of the friend (or ex-friend) you wish to block from your account. You can also block certain people from sending you messages, but you have to be friends with them.

It’s also possible to block people people you’re not friends with by heading to their profile, clicking the “…” on the right hand side and selecting Block.

12) I want to… limit who can look me up through contact information

Facebook probably has your phone number and one or more of your email addresses at this point. If folks (i.e. potential employers, old flames, stalkers, etc.) were to enter these in search, they may be able to discover your profile. In Settings > Privacy you can correct this by clicking Who can look you up using the email address you provided and selecting Everyone, Friends of Friends or Friends. The same process applies if you’re trying to keep your phone number private.

13) I want… my Facebook page kept off Google

There’s no hiding from Facebook’s overarching Search engine. All you can do is lock down your privacy settings and hope you have a common name. However it’s different in the case of other search engines like Google. Open Settings > Privacy and select No to keep your name off of Google’s radar.

14) I want to… hide my real name

The right to anonymity was and, in some cases, still is one of the most cherished tenets of the internet. With Facebook now showing all profiles within search results, changing to an assumed name seems a good idea for those who don’t want to be discovered, have been harassed, work in sensitive industries, have been discriminated about, etc…

Unfortunately, it’s not that easy. Facebook makes you use your birth name when signing up and has very strict rules about changing it thereafter. If you’re reported for a fake name it could suspend your account. The company has softened its stance following feedback from victims of abuse and the LGBTQ community.

While you can’t hide your name, if you’d like to request a name change, you can visit Settings, click General > Name and then Review Change.

15) I want to… protect my location

Facebook loves it when you check into places. It gobbles up all of that lovely data to attract advertisers and display location-specific ads on your homepage. The most obvious step to protecting your location is not clicking the location pin when posting.

However, when you’re using the mobile app, Facebook may try to use GPS and Wi-Fi to name your location. You can prevent this from happening by entering the Location settings on your mobile device and denying Facebook access.

In iOS it goes: Settings > Privacy > Location > Facebook > Never

Or for Android devices: Settings > Applications > Facebook > Location and toggle Location Services off.

16) I want to… prevent/remove a tag

If you’ve had Facebook for a few years, your friends have probably tagged you in some pretty embarrassing pics. Developed social media etiquette and a full knowledge of the consequences mean that it might not happen as much these days. If you’re looking to get rid of those awkward memories before a potential employer gets there first, help is at hand.

In Settings > Timeline and Tagging you can change the options to under Review to check over every tag before it appears on yours or anyone else’s timeline.

You can always select Remove Tag within individual post settings. If the post is offensive, you can also Report Post if you want it off the site altogether.

17) I want to… make my profile completely private

Until October 2015, it was possible to hide your Facebook account and prevent it from popping up when someone searches your name. However, this stopped being an option after the company broadened its Universal Search through the Knowledge Graph initiative.

Now, even if your privacy settings are completely locked down you’ll appear within search results meaning that there is a certain level of info that anyone can pick up if they click on your profile. This includes your profile picture, your list of friends and the pages you’ve liked. No way around it, sadly.

18) I want to… tag friends but limit who sees the posts

When you tag people in posts and photos, the number of people who see it can take on a life of its own. The friend must approve the post to their timeline but, if they do, all of their friends will be able to see it too. For example, if you tagging a friend in a photo of your child, you’re effectively expressing consent that those outside of your friendship circle can view it, react to it, share it and even comment on the photo too.

So, in other words, if you’re concerned about who might view the photo, tagging friends is best avoided.
